BIM Quantity Take-Off: How Model-Based Quantities Improve Estimating and Cost Control
BIM quantity take-off extracts measurable quantities from models for estimating and cost control. Accuracy depends on modeling rules, classification and exclusions. This guide explains the method, limits and how buyers should brief QTO work.
BIM quantity take-off is the extraction of measurable quantities from a model: areas, lengths, counts, volumes, and sometimes weights, using the elements that were actually modelled and the rules that were actually agreed. It can improve estimating and cost control when the model’s types, classifications and exclusions match how a cost person measures. It can mislead when generic walls hide three specifications, when insulation was never modelled, or when someone treats a schedule as a contractual bill of quantities without a measurement standard.
A wall in Revit can report area and volume if it is a wall with a type that has a thickness. A duct can report length if it is a duct. A generic model of a wall reports whatever parameters someone typed, which may be nothing useful. Quantity take-off is therefore a modelling quality audit as much as it is a spreadsheet skill.
5D BIM, in common usage, links those quantities to cost codes. QTO can exist without 5D. 5D cannot exist honestly without QTO rules. Do not buy “5D” if you only need a door count.
Classification (Uniclass, OmniClass, a contractor code list, a local method of measurement mapping) is how elements find their cost rows. If the model has no classification, the take-off will be a pile of category totals: “all walls,” which an estimator cannot buy.
What the model must contain before QTO is honest
Types that match specification splits: different wall build-ups as different types. Materials if you need material quantities. Openings that subtract. Phasing so demolition and new are not one number. MEP systems if you need duct area by system. Level of Development high enough for the measured item: you cannot honestly take off hanger counts at a schematic LOD. See LOD.
Exclusions must be written: fittings, waste, unmodelled flashings, site allowances, temporary works, and items only in 2D details. An honest QTO report is mostly a list of what is not in the number.
Extract with schedules, a take-off tool, or IFC-based measurement.
Sample-check against drawings (a room, a grid bay, a riser).
Issue a table with exclusions, the model date, and the checker’s name.
Repeat for a new freeze; report deltas.
Tools vary: Revit schedules, specialist take-off tools, IFC measurement. The method statement matters more than the logo. IFC can drop geometry; test a sample. Navisworks quantification exists; it still needs structured elements.
Estimating versus cost control
Early estimating can use a model at lower LOD with heavy qualifications: “indicative GFA from rooms.” Tender estimating needs types that match the spec. Cost control during construction needs deltas: what changed in the model since last month, and whether that change was instructed. If the model is not updated, 5D becomes a museum of the tender.
Contractors use QTO to buy and to claim variations. Consultants use it to sense-check a cost plan. Owners use it to compare options. Each needs a different freeze and a different exclusion list. Do not issue one table for all three without labels.
Limits and failure modes
Unmodelled items. Wrong categories. Copied groups that double count. Rooms that leak. Insulation not modelled but specified. Reinforcement not modelled. Site works not in the building model. People counting 3D only and ignoring 2D typical details that carry the real specification. AI that totals a schedule without noticing that all walls are Generic 200. See AI and BIM.
Measurement standards (national standard methods of measurement) may require rules a raw BIM schedule does not know: how to measure pipe fittings, whether to deduct openings below a size, how to treat sloping walls. Mapping those rules is specialist cost knowledge. A BIM modeller is not automatically a quantity surveyor. Hire the right role, or pair them.
Briefing a marketplace QTO job
Send the model, the code list, the measurement rules, the LOD table, and the purpose (tender, variation, cost plan). Milestone a sample bay reconciliation against a manual take-off. If they cannot reconcile a bay, do not let them take off a tower. Price follows discipline mix and rule complexity, not a mythical per-square-metre BIM QTO rate.
If the model is not QTO-ready, the first package is modelling remediation. Be willing to buy that. A cheap take-off on a dirty model is a false saving.

Measurement rules, openings and the quiet deductions
A wall area in a BIM schedule may not match a standard method of measurement. Some methods deduct openings above a size and ignore openings below it. Some measure walls over openings. Some measure finishes separately from substrate. If the appointment names a method, the QTO mapping must encode it. If the appointment does not, the report must say “raw BIM category totals, not a standard method.” Mixing those two sentences in a client meeting is how trust dies.
Sloping slabs, toposolids, and curtain panels have their own traps. Volume of a sloped slab can surprise people who think in plan area times thickness. Curtain wall areas can double count if you schedule both the system and the nested panels. The specialist’s method note should list the categories they will not schedule for that reason.
MEP fittings: a duct length that excludes fittings is a different number from a centreline that includes them. Pipe elbows may be in the model as fittings or as just bent pipes. Buying pipe from a number that already included fittings as length will over-order or under-order depending on the merchant’s rule. Write the rule. Do not hope.
Variation culture: instructed, modelled, measured
Cost control from a model only works if instructed changes are modelled as distinguishable. A parameter for change number, a workset, or a phase can work. If the architect moves a wall “informally” and the modeller updates it without a change code, the delta extract cannot explain itself to a commercial meeting. The QTO specialist should be allowed to refuse an uncoded update as an uncontrolled change, or to dump it in an “uninstructed delta” bucket that the project manager must face.
Demolition and new in renovations are two measures. Mixing them into one wall area is a classic error. Phasing is the BIM tool; the cost table should have two columns.
Sampling like an auditor, not like a fan of 3D
Pick a grid bay. Manually measure one wall type, one duct run, and one door count from drawings. Compare. If the wall is 8% off because openings were not deducted, you have a rule problem, not a software problem. If the duct is 40% off because half the run is still CAD lines, you have a modelling problem. If the door count is perfect and the wall is fiction, you have a category problem. One bay teaches you which.
Do this before you extract a tower. Marketplace Milestone A exists for this. Clients who skip it to “save time” will pay for a full extract they cannot defend.
Estimators, BIM specialists and who speaks in the meeting
The BIM specialist explains what the model contains. The estimator explains what the cost plan contains. They should not swap microphones. When a director asks “is this the contract quantity?”, the estimator answers, citing the QTO report’s exclusions. When they ask “is this wall type in the model?”, the BIM specialist answers. Projects that let a modeller answer the contract-quantity question are asking software to practise quantity surveying.

Live cost dashboards
Dashboards are not evil. Stale dashboards are. Every tile needs a model version and a freeze date. If the tile cannot show that, it is decoration. AI that auto-refreshes from an unsynchronised central file will happily display last week’s walls with this week’s confidence. Date stamps are the quality system.
Building a code library that estimators will actually use
A code on every object is not a library. A library is a mapping that an estimator recognises: wall types to wall codes, duct systems to duct codes, doors to door codes, with a parking lot for “unmapped.” Unmapped should be visible and painful, because hidden unmapped is how “all miscellaneous” becomes a dumping ground. The first QTO milestone should include the unmapped list. If it is long, you are not ready to take off a tower.
Some teams use assembly codes, some use classification parameters, some use a separate database key. Any of these can work. Two of them at once without a master cannot. The BIM Execution Plan should name the master parameter. Freelancers should not invent a third.
Concrete, rebar and the items BIM often cannot honestly measure yet
Concrete volumes from slabs and walls can be useful if openings and pour joints follow the measurement rule. Rebar quantities from a model are only honest if rebar was modelled to that purpose, which is a specialised scope. Do not extract a “rebar weight” from a cosmetic rebar appearance or from a wall volume times a guessed kg/m3 unless the estimator owns that guess and labels it as an allowance. Labelling allowances as BIM quantities is a reporting defect.
Structural steel lengths from beam elements are more honest if connections are not double-counted and if member types match the mill list. Connection plates at LOD 400 in a detailing model are a different extract. Know which model you are in.
MEP insulation, lining and fittings
If insulation is modelled, you can take off insulation area or volume depending on how it was built. If insulation is a type property but not geometry, you can still compute from duct area times a rule — that is a calculation on top of BIM, and it must be written. Lining is similar. Fittings as counts versus fittings as included in length must match the merchant. Fire-stopping is usually not in the model; call it an exclusion unless it was modelled as objects.
Electrical cable lengths are often not in the BIM at device level. Tray length is. Do not promise cable take-off from a containment model unless cables were modelled. Extra-low voltage is frequently a tray-only extract.
Optioneering without mixing the options into one schedule
Design options in Revit will pollute a schedule if you do not filter. Take off one option at a time. Name the option in the report header. A combined number that mixes two facades is not a cost plan; it is an accident. Groups and typical units can double count if a unit is both grouped and also modelled as extra instances. The sample bay check should include a typical unit.
Commercial ethics of model quantities
Do not round in the model to make a cost plan look tidy. Round in the cost system according to the measurement rules. Do not delete elements to hit a target. Do not hide a workset of extra walls. A QTO specialist who is asked to “make it match the budget” should refuse and offer a variance explanation instead. BIMProSG buyers should not put that pressure in a brief. Sellers should document the refusal as an RFI.
Refresh cadence and storage of extracts
Store each extract with the model ID. A folder of “QTO_final.xlsx” files is how last month’s numbers overwrite this month’s. Name files with dates. If you use a dashboard, point it at a dated extract, not at a live unsynchronised model. Live is only live if someone is responsible for the freeze.
Quantity take-off and phasing of fit-out versus base build
Base-build walls and tenant walls must not sit in one total if they are purchased by different parties. Parameters or worksets should split them. A QTO that dumps both into “internal walls” will start a commercial argument that looks like a BIM argument. The brief should name the split. If tenant models arrive late, their quantities are a later extract, not a silent hole in the base-build extract.
Counting versus measuring
Doors are counts. Walls are areas or volumes depending on the rule. Ducts are lengths and maybe surface. Equipment is counts with a type. Mixing count and length in one column without units is a reporting defect. Units belong in the header of every column. SI units should match the project. Do not mix millimetres and metres in a way that a director cannot see.
Independent check
On a tender-critical extract, a second person should check the sample bay. That person can be a small BIMProSG review package. They should not be the same specialist who wants the milestone approved. Independence is a quality act. It is not an accusation.
What to tell the board
Tell them the model version, the exclusions, and the sample check. Do not tell them “BIM says the building costs X” unless an estimator has applied rates and allowances. QTO is a quantity story. Cost is a cost story. 5D is the optional join. Keep the nouns straight.
Openings, shafts and double counting of voids
A shaft that is a room, a wall opening, and a slab opening can be deducted three times or zero times depending on how it was modelled. The method note should say how shafts are measured. Sample a shaft bay. This is a classic estimator-versus-BIM fight that a one-hour check can end.
Furniture, fixtures and equipment
FF&E counts are only honest if FF&E was modelled as countable families with marks. Generic boxes will count as boxes. If the cost plan uses a different FF&E list, map it or exclude it. Do not pretend a furniture layout from an interior decorator’s CAD is a procurement list until someone maps it.
Issuing the QTO report
PDF plus spreadsheet, model ID, exclusions, sample bay, units, and the name of the BIM specialist and of the estimator who reviewed if any. That package can be a BIMProSG milestone. A screenshot of a schedule cannot.
Waste factors live outside the model
Waste, lap, and breakage are commercial factors. They should not be hidden by thickening a wall in BIM. Extract the net modelled quantity, then apply waste in the cost system. If a client wants waste in the BIM number, write the factor. Silent waste is how two extracts disagree and both look sincere.
Net modelled quantity, then commercial rules
Say it until it sticks: net modelled quantity first, commercial rules second. The BIM specialist owns the first. The estimator owns the second. BIMProSG can host either role. It cannot host a dashboard that pretends they are the same person if they are not. Sample the bay. Date the extract. List the exclusions. Then talk about money.
If the sample bay cannot be reconciled, do not scale up. Remediate types, phases, or mapping. Scaling an error is not 5D. It is a larger error with a chart.
CTA: take off a named model version, not “the BIM”
Is a Revit schedule a bill of quantities? No. It is a data extract. A BQ follows a measurement standard and a contract.
Can we QTO from IFC? Yes if the export preserves the elements you measure. Test it.
Do we need 5D software? Not for a door count. For live cost coding against a WBS, maybe. See 4D and 5D.
Who is liable if the quantity is wrong? The appointment. The report should still show the sample check so the error is traceable.
How often to refresh? On cost-reporting cycles, or after instructed changes that were modelled.
What about Singapore? No extra invented measurement law. If a project uses a specified method of measurement, name it. Regulatory BIM submission is a different topic: CORENET X.
