Revit Modeling Services: What to Outsource, Costs, Deliverables and How to Hire the Right Expert
A buyer’s guide to Revit modeling services: architectural, structural and MEP scopes, file hygiene, family work, deliverables, pricing factors, and a hiring checklist for specialist freelancers.
Revit modeling services are the most common purchase on a BIM marketplace because Revit is still the authoring environment many architecture, engineering and construction teams use for buildings. Buying those services well means stating what will be modelled, in which template, to which Level of Development, and how the file will be handed over. Buying them poorly means sending a PDF set and asking for “a Revit model” with no mention of phasing, shared coordinates, or whether Mechanical, Electrical and Plumbing (MEP) is in scope.
This guide is for clients who need to outsource Revit production: architectural models, structural models, MEP models, families, and drawing extraction. What Revit modeling services are — and what they are not
A Revit model is a database of elements: walls that know they are walls, ducts that belong to a system, beams that sit on grids, rooms that can be scheduled. Revit modeling services are the labour of creating and maintaining that database from drawings, sketches, point clouds, or an existing model. The specialist works in a version you specify, uses your template or an agreed starter template, and returns a file that other people can open without a scavenger hunt for missing links.
Revit modeling is not automatic conversion. CAD lines do not become typed walls without interpretation. A PDF elevation does not place window families with the correct host and head height. A manufacturer’s 3D DWG does not become a well-parameterised family. If a proposal says “we convert anything to Revit overnight,” treat that as a marketing sentence until you see a sample of stacked walls, constrained grids, and a schedule that totals correctly.
Revit modeling is also not design sign-off. The modeller can warn that a beam and a duct occupy the same space. The engineer still decides which one moves. Keep that split visible when you post a project.
Architectural Revit work: what buyers should specify
Architectural Revit modelling usually includes levels, grids, building envelope, internal walls, floors, roofs, stairs, ramps, doors, windows, rooms or spaces, ceilings, and the views needed to issue drawings. It may include furniture and sanitary fixtures if those are in the drawing set and needed for coordination. It should include phasing if the project is a renovation: existing, demolished, new. If phasing is ignored, quantities and drawings lie.
Specify the wall types. “Generic 200 mm” for every partition is a model that cannot later support a specification or a quantity take-off. If the drawings show masonry, drywall, and glazed screens, those should be different types with correct widths. Specify how curtain walls will be built: curtain wall tool versus wall with hosted windows. Either can be valid; mixing them without a rule makes schedules noisy.
Rooms need a naming and numbering convention that matches the architect’s door schedule, not a modeller’s improvisation. If the project will later need energy or occupant analysis, rooms or spaces must be bounded. If the only purpose is drawings, you can still require rooms because they catch unplaced areas and missing walls. A cheap architectural model that cannot produce a room schedule is not cheap; it is unfinished.
Practical example: a residential typical floor. The specialist should place the corridor walls once, group or repeat the unit with care, and keep shaft openings aligned to the structural model. Bathrooms should use the correct wet-area wall types. Balcony waterproofing build-ups, if shown, should be modelled at the LOD you paid for — or explicitly excluded. Ask for a sample unit before the whole floor plate is copied twenty times.
Structural Revit work: frames, foundations and analytical honesty
Structural Revit modelling includes grids, foundation elements, columns, beams, braces, floors, walls that are structural, and connections at the Level of Development you specify. At early stages a beam may be a type with a nominal depth. At coordination stages the beam should have the correct size and the connections should leave space for bolts, haunches or rebar cages as required by your LOD table. At fabrication-oriented stages, connection detail may move to a steel detailing tool; do not assume Revit is the fabrication environment for every structural system.
Analytical honesty matters. A model that looks like a frame in 3D but uses model-in-place blobs for every transfer beam will not schedule, will not clash cleanly, and will not export useful IFC. Prefer loadable families and system families. Model-in-place should be the exception with a written reason.
Coordinate openings early. Structure owns many of the holes that MEP needs. If the structural modeller waits for “final MEP,” the MEP modeller will have already drawn risers through beams. The BIM coordination workflow should set a date for reserved openings. Outsourcing structure without that date produces a beautiful frame that later gets carved on site.
MEP Revit work: systems, not coloured solids
MEP Revit modelling is Mechanical, Electrical and Plumbing authoring with systems, connectors and clearances. Ducts should be duct elements with system types. Pipes should be pipe elements with the right system classification. Cable trays and conduits should be those categories, not generic models painted orange. Ask for a sample of a plant room and a typical corridor. In the plant room you want equipment families with connectors, housekeeping pads if they exist on drawings, and access zones if LOD includes them. In the corridor you want racks that respect ceiling and structure, not a single spaghetti of overlapping pipes. Insulation and lining should be modelled or excluded with a note; they change clash results.
Electrical modelling is often under-specified. Decide whether you need devices, lighting fixtures, cable trays, conduits, switchgear, or only containment for coordination. Lighting families that are over-detailed can slow a model; lighting families that are only a ceiling blob cannot support a lighting schedule. State the purpose.
Families, templates and content libraries
A project model is only as disciplined as its content. Revit family creation is a separate service for a reason: a door family with correct parameters, a fire damper with connectors, a switchboard with clearances. If your outsourced modeller imports random web content, you inherit slow geometry and missing parameters. Either supply a library or buy family creation as a named package.
Templates carry view templates, line styles, titleblocks, shared parameters and starting types. If you have a company template, send it and the version. If you do not, agree that the specialist will use a clean starter and document what they added. A model built in an unknown template is hard to bring in-house later.
Shared parameters should be listed if you need schedules that match a cost breakdown or a Singapore submission property set. Do not invent a parallel parameter world if the project already has one. The BEP — see the BIM Execution Plan guide — should name the shared parameter file.
Deliverables: files, views, drawings and hygiene
A complete Revit modelling package is more than an RVT. Ask for:
Native Revit file in the agreed version, workshared if multiple people will continue it
A list of linked files and how they are positioned (shared coordinates)
View templates used for plans, sections, 3D coordination views
A sheet list if drawings are in scope
Warnings report: what remains, what was ignored, what needs a design decision
IFC export only if you asked for it, with the export setup recorded
A short method note: phasing, grouping, design options, and known deviations from drawings
File hygiene is a deliverable. Purge unused, or explain why you did not. Remove CAD imports that were only tracing underlays if they are no longer needed, or keep them on a clearly named workset if they are the audit trail. Pin grids. Do not explode DWGs into thousands of lines inside the model. Do not leave twenty unused design options. Buyers should open the file and look at the warnings dialogue; a specialist who is proud of a clean file will not fear that.
If shop drawings are required, that is a drawing-extraction discipline of its own. Read BIM shop drawings. Do not assume that a coordinated model automatically yields dimensioned, annotated sheets.
Costs: factors, not a fake global rate
There is no honest universal price per square metre for Revit modelling that fits every building. A warehouse slab-on-grade with few openings is not a hospital. A model at a schematic Level of Development is not a coordination model with hangers. A file that must match a strict company template is not a file built in a generic template. BIM service cost depends on:
Discipline mix (architecture only versus architecture plus structure plus MEP)
Source quality (clean CAD versus scanned PDFs versus contradicting PDFs)
LOD table by system
Number of unique types versus repeated typical floors
Revision allowance
Whether families must be created
Software version upgrades mid-job
Whether coordination and clash detection are included or extra
Whether IFC mapping for a regulatory path is included
Hourly rates are comparable only when seniority and software skill are comparable. Lump sums are comparable only when the sheet list and LOD table are the same. Unit rates are comparable only when the unit is defined (modelled GFA, number of families, number of unique rooms). If a quote is far below others, look for missing MEP, missing families, or missing revision capacity.
How to hire the right Revit specialist
Portfolio review should match the service. For architectural modelling, open a sample and check wall joins, room bounding, and stair modelling. For structure, check framing connections and whether floors are actual floors. For MEP, check systems and connectors. Ask which Revit version, whether they use worksharing, and how they handle links. Ask for a five-minute screen recording of them placing a duct through a beam region and creating an RFI rather than a silent clash.
Interview questions that reveal skill:
How do you set up shared coordinates with a consultant who already published a different origin?
When do you use groups versus assemblies versus repeating a typical floor as a new copy?
How do you keep a linked architectural model from breaking your MEP connectors after a geometry change?
What do you do with a wall that is drawn 15 mm off grid — model as drawn, or query?
How do you export IFC without dropping rooms or MEP systems?
Red flags: no sample files, only rendered images; refusal to name software versions; “LOD 500 for everything” as a sales phrase; no questions about your template; a promise to model a hospital in a week from incomplete drawings. Typical floor versus unique geometry: scoping the effort
Buyers often price a building by floor area. Revit effort does not scale that way. Twenty identical apartment floors are largely a typical-unit problem plus vertical shafts and a ground floor that is never typical. A museum with unique rooms is almost all unique geometry. A conversion of an existing shophouse with every wall out of square is closer to Scan to BIM than to new-build modelling. Write the uniqueness into the brief.
Design options multiply work. If the architect is still comparing two cores, either exclude the optional core or pay for two models. Phasing multiplies work. If demolition is in scope, existing walls must be modelled well enough to demolish. If they are not, the demolition drawings will be fiction.
MEP uniqueness is about plant and risers, not only floor area. Two office floors with the same VAV layout are cheaper than two laboratory floors with different gases. State the systems list: HVAC air, HVAC water, drainage, domestic water, fire protection, electrical containment, extra-low voltage containment, medical gases, and so on. A proposal that prices “MEP” without a systems list is not yet a proposal.
Coordination-ready Revit versus drawing-only Revit
Some buyers only need drawings from a model: plans, sections, elevations that stay consistent when a window moves. That is a valid, smaller scope. It still needs typed elements, but it may not need full clash-ready clearances. Other buyers need a model that will be federated in Navisworks. That model needs worksets or selection sets that match the clash matrix, element IDs that remain stable, and geometry that represents the object rather than a symbolic line.
Say which one you are buying. A drawing-only model that is later asked to perform clash detection will disappoint. A clash-ready model that is later asked to look like a marketing axonometric will also disappoint. If both are required, sequence them: coordination first, presentation views later, or separate view templates so presentation never pollutes model accuracy.
Link management is part of coordination-ready delivery. The architectural model should be the host for rooms if that is the agreed rule. Structure and MEP should link architecture, not the other way around, unless your BEP says otherwise. Copy/monitor grids and levels with a written policy for who owns a change. Uncontrolled copy/monitor is a common source of duplicate grids.
Revisions, RFIs and the live-project reality
Live projects change. A Revit outsourcing contract that assumes a frozen drawing set will fail on week two. Write a revision packet rule: you issue a numbered set; the specialist issues a change summary (what moved, what was remodelled, what is on hold). Cap the number of packets in the lump sum. Extra packets are extra milestones.
RFIs should be short and numbered. “Level 4 architectural plan shows a 400 mm wall; section shows 300 mm; which do we model?” is a good RFI. “The design is unclear” is not. Specialists should stop at a conflict rather than averaging two dimensions. Buyers should answer within an agreed number of working days. Silence is a project risk, not a modelling skill issue.
Worksharing on a live job needs a who-owns-what rule. If the specialist models remotely and your in-house team also edits, use a central model with a clear workset split or a weekly ownership window. Two people editing the same wall type in parallel without a protocol will waste the money you thought you saved by outsourcing.
Quality checklist for receiving a Revit model
Opens in the specified version without missing third-party plugins that were not agreed
Shared coordinates documented; links sit on the building, not in space
Levels and grids named as the BEP requires
No unexplained model-in-place sprawl
Categories correct: ducts are ducts, walls are walls
Rooms or spaces placed if they were in scope
Phasing correct for renovation
Families are the agreed library, not random internet content
Warnings reviewed; remaining warnings listed
View templates exist; sheets match the sheet list if drawings are in scope
File size is plausible; no buried CAD explosions
A sample schedule (doors, rooms, ducts, beams) totals in a way a reviewer can check
Method note lists deviations from source drawings
Fail any of the first five and you should not approve the milestone. Cosmetic 3D views are the last thing to inspect, not the first.
CTA: put the Revit version and LOD table in the brief
Which Revit version should we specify? The version your internal team or lead consultant can open. Upgrading mid-project is a real cost. Do not let a specialist work a year ahead unless everyone can follow.
Can one freelancer model architecture, structure and MEP? On a small building, yes, if they can show samples in each. On a complex building, discipline specialists plus a coordinator is safer. Price the coordination, not only the clicks.
Do we need worksharing for a single modeller? If the file will return to a team, yes, set it up cleanly from the start. A detached file that later becomes central is possible but messy.
Should the specialist model from PDFs or from CAD? CAD with a known scale is better. PDFs require calibration and hide errors. If only PDFs exist, budget more checking and more RFIs.
Is a rendered image proof of modelling skill? No. Ask for a native file or a recorded walkthrough of types, schedules and a section.
How do families affect price? Unique equipment and non-standard windows can dominate a small job. Either supply content or add a family package.
What about IFC? Include IFC only if you need exchange or a regulatory export. Record the export mapping. Singapore BIM submissions use IFC with local additions where BIM submission applies; see the CORENET X guide.
